Current Opening for Client Services Data Specialist

Status: Full-time Exempt
Reports to: Director of Client Services

Mission: Established in 1992, ChildSafe is a nonprofit organization created to combat child abuse in our community. Serving as Bexar County’s only Children’s Advocacy Center (CAC), we provide a continuum of care – including crisis management, case management, clinical therapy, and victim services – to child abuse survivors and their non-offending family members. In 2012, ChildSafe expanded its services to reach all child victims of abuse and neglect.

Essential Job Functions:  Under the supervision of the Director of Client Services, the Client Services Data Specialist is responsible for the aggregation of data and outcome measures related to ChildSafe’s service provision. This position provides administrative support to the Client Services Department. Position duties include:

  • Performs data entry and data consistency in service provision databases.
  • Creates client files in the agency’s web based database and logs services for all direct service departments
  • Maintains data integrity by following up and correcting errors or omissions.
  • Creates user-friendly forms, surveys, and guides.
  • Completes internal and external quality assurance reports, as necessary.
  • Conducts ongoing communication with agency staff to facilitate and improve data collection processes and fosters a culture of data-driven decision making
  • Assists Director of Client Services with identifying possible improvements to the data collection process and utilizing data to improve and inform service delivery.
  • Maintains a comprehensive knowledge of the mission, core values and vision of the organization and the children’s advocacy model.
  • Provides Program support for agency, as needed.
  • Attends monthly staff meetings.
  • Ensure reports/records generated in agency database are retained, protected and or destroyed so as to ensure confidentiality.
  • Follows agency and department policies and procedures at all times.
  • All other responsibilities and duties as from time to time designated by the agency or added to the scope of responsibility for this position by immediate supervisor.

Education/Skills/Training Requirements:

  • Possesses a minimum of a bachelor’s degree from an accredited college or university. Four years of similar work experience may be substituted for a degree.
  • Proficiency in data entry and exceptional attention to detail.
  • Ability to format forms, surveys, and guides in a user-friendly manner.
  • Knowledge of CPS and Law Enforcement designations, definitions and acronyms.
  • Interacts with other professionals and co-workers in a spirit of cooperation and mutual commitment to the goals of delivering the best possible services to victims of child abuse.
  • Experience with diverse cultures, languages, and situations.
  • Ability to communicate clearly and concisely both orally and in writing.
  • Experience working with children and families.
  • Knowledge of and experience in working with child abuse issues.
  • Ability to organize a variety of tasks and deal with a variety of people.
  • Excellent telephone and computer skills.
  • Strong interpersonal skills and positive attitude.
  • Effectively utilize critical thinking skills.
  • Possess proficient computer skills. Knowledge of Social Solutions “Apricot 360” a plus.
  • Must have a telephone, reliable transportation, auto liability insurance and possess a current Texas Driver’s License.
  • Ability to pass a criminal background check and CPS registry check.

Performance Standards:

  • A minimum of 90% on Quality Assurance (QA) compliance.
  • Case documentation is completed within 24-48 hrs. of service provision.
  • Up to date and current on all employee training.

Working Conditions/Physical Demands:

  • General office environment.
  • Must be able to remain in a stationary position 50% of the time.
  • Needs to move about the office to access cabinets, files, office machinery including computers, copiers and printers.
  • Operates a computer and other office productivity machinery (EG: copiers and printers).
  • Occasionally lifts supplies, food, and clothing weighing up to 30 pounds.
  • Must be able to communicate well with MDT partners and colleagues.

Hours/Shifts:

Full-time position working 40 hours. Shifts will be established within the following timeframes:

Monday – Thursday: 8:00 am – 8:00 pm

Friday: 8:00 am – 4:00 pm

May need to work after hours in response to client crisis situations.
