Database and Social Media Specialist

Status: Full-time Non-Exempt

Reports to: Director of Communications and Community Relations

The Database and Social Media Specialist is responsible for tasks relating to the donor database NEON including donation reports, invoicing, volunteer reports, queries, scheduled reports, quality assurance, and correspondence with donors; and the social media engagement strategy through various platforms.

Responsibilities:

Database Activities

  • Serves as the administer of NEON
  • Builds database forms into touchpoints
  • Builds and composes reports in NEON
  • Runs scheduled reports and responds to related queries in a timely fashion
  • Monitors database for quality control (i.e. missing and incomplete forms)
  • Provides agency and employee support for NEON database
  • Works in collaboration with NEON to research and resolve database issues
  • Codes and enters donations in accordance with organizational procedures and policies
  • Performs monthly reconciliation of all operational and capital donations
    • Generates associated reports for review, signature and record keeping
  • Prepares documentation and support for annual audit (checks, receipts, ACH withdrawals, in-kind donations)
  • Monitors fundraising database for duplicates, compares and then corrects/removes
  • Ensures database is backed up (data recovery) and performs according to specifications
    • Assists in maintenance and troubleshooting activities
  • Ensure database is secure from unauthorized users
  • Updates government, city officials, and public officials in database
  • Creates and maintains mailing lists
  • Mails acknowledgement letters to donors and volunteers

Social Media

  • Crafts weekly posts for Facebook, Instagram, Twitter and LinkedIn
    • Authors the posts and finds supporting pictures
  • Keeps the website accurate
    • Perform weekly/monthly checks of the website
    • Tasks other departments to review their sections of the website for accuracy
  • Engages ChildSafe audience across all platforms
  • Pulls weekly social media reports
  • Grows audience of each channel in follower, audience and engagement (impressions)

Development Activities

  • Manages United Way speaker requests
  • Conducts petty cash reconciliation

Communication Activities

  • Assists with developing mailing lists for agency newsletter, invitations, and other marketing materials

Administrative Support Activities

  • Ensures phone calls/correspondence with donors are handled in a courteous and efficient manner
  • Keeps files up to date and easily accessible
  • Prepares mail merges and mail outs
  • Carries out other administrative duties such as making copies, organizing files, and the compilation of information as it relates to donor/donation information
  • Attends meetings and trainings as requested by supervisors
  • Conducts other duties as assigned

Job Specifications:

  • Donor database management proficiency
  • Associate’s degree or two-year degree required
  • Degree in computer science or financial management (desired)
  • Computer literate with knowledge of Microsoft Office
  • Extensive knowledge in social media platforms and engagement
  • Previous non-profit work experience (desired)

 Working Conditions/Physical Demands:

  • General and open office environment
  • Must be able to remain in a stationary position 50% of the time
  • Needs to move about the office to access cabinets, files, office machinery including computers, copiers and printers
  • Operates a computer and other office productivity machinery (e.g.,: copiers and printers)
  • Will seldom ascend/descend ladder to retrieve client files
  • May occasionally lift supplies and support materials weighing up to 30 pounds

Job requires 40 hours weekly.

Current Work Schedule:  Monday –Thursday 8:30 a.m. – 5:30 p.m. and Friday 8am-4pm; some irregular hours may be required.
